Google Ads call tracking: measuring calls and lead quality, and linking them to the CRM

Call tracking in Google Ads answers three separate questions: did a call come from an ad or a website session? Did the conversation meet a technical conversion rule? Did it become a qualified lead, a sales opportunity or a customer? If you conflate these levels, you quickly optimise for conversation duration instead of business value. Plan numbers, identity, CRM status, consent, duplicates and feedback as one traceable chain.

What kinds of calls are there?

Four useful paths and signals can be distinguished. They can overlap: a click on a call asset can lead to a call through a Google forwarding number, and the same forwarding number can also support website tracking. Do not add them up as four separate call populations:

  1. a click on a call asset or a location asset; the click alone does not prove that a conversation happened;
  2. a call through a Google forwarding number;
  3. a call after a website visit through dynamic number insertion;
  4. a call to an unchanged business number with no reliable link to an ad.

In addition, existing customers, support, applicants or suppliers may use the same number. The phone system knows that a conversation took place; it does not automatically know the campaign, the search intent or the lead quality.

How do Google Ads call reports work?

When call reporting is available and active, Google assigns a Google forwarding number to the ad and forwards the call to the business number. The reports can include, among other things, start time, duration, connection status and further call details. The forwarding number belongs to Google, can change and is not a permanent business number.

If call reporting is switched off, the direct business number appears; call details and duration from the Google forwarding number are then missing. Google can still classify interactions as conversions without those details, for example a click on a call asset; such inferred conversions are not observed connected calls. The Google forwarding number is available in Switzerland among other markets; even so, check the specific account setting. Third-party providers may use other number pools.

When is a call a conversion?

Google can count a call as a conversion from a configured minimum duration onwards. A conversation below the threshold can appear as a call but not as a call conversion. The threshold is an operational approximation. It is no substitute for checking the quality of the enquiry.

Define these separately:

  • “connected”: the conversation was connected;
  • “minimum duration reached”: the technical duration rule is met;
  • “enquiry relevant to the offer”: the enquiry concerns the offer and is neither support nor spam;
  • “qualified enquiry”: the defined MQL/SQL criteria are met;
  • “sales opportunity” or “customer”: a later CRM outcome.

Connection and duration are observed in the duration-based reports described here. Business qualification of the enquiry needs additional validated evidence. A quality classification by Google itself requires recording and AI features that are available only in supported markets such as the US or Canada with both parties – not in the normal Swiss case.

Which number strategy fits?

A number strategy has to connect attribution, reachability and brand trust. A single static number is simple but separates sources poorly. A number pool can map sessions or channels, yet it needs enough numbers, reassignment controls and protection against misassignment.

Document your ad, website and offline numbers. Check how long a dynamic mapping persists and what happens with blocked scripts, refused consent or a direct return visit. Show users a number they can actually reach; tracking must not make the contact route unreliable.

How does the call reach the CRM?

Use a stable call ID or a documented mapping. Store the source, timestamp, destination number, campaign context where permitted, connection status and later lead status. The salesperson selects a code from a short list instead of noting quality only in free text.

When the same prospect calls first and sends a form later, a possible duplicate arises. Define merge rules without linking people merely because their names are similar. Keep the original touchpoints and one authoritative lead record.

Which data protection questions arise?

A phone number, time, conversation metadata and, where applicable, a recording can all be personal data. Clarify the purpose, information, access, retention, recipients and deletion. Recording a conversation is not necessary to capture calls as conversions, and it is subject to its own legal requirements.

Do not send conversation content to advertising or AI systems merely because a technical integration allows it. Apply data minimisation and role-based access. This guide is not legal advice; the specific Swiss implementation needs review by a competent party.

How are call and form leads reported together?

Start by showing volumes and quality rates separately. Both paths use the same definition for MQL, SQL and sales opportunity, but different technical entry signals. A call can be qualified immediately; a form may be processed later. Compare cohorts after a suitable follow-up period for that reason.

A useful table contains calls, connected calls, technical call conversions, valid phone leads, MQL, SQL, sales opportunities and customers. Alongside them sit forms with the same later stages. Add them up only at a shared, deduplicated lead ID level.

Which errors does a call tracking audit find?

  • Call reporting is switched off or unavailable in the account.
  • The forwarding number and the business number are confused.
  • A duration threshold is treated as a definition of quality.
  • A primary bidding signal relies on call conversions without validated evidence of business quality; CRM feedback is one possible source of that evidence.
  • Dynamic number insertion runs on the website without an adequate pool or with an incorrect consent status.
  • Test calls, support calls and existing customers are not flagged.
  • Time or number mapping loses the source.
  • A call and a form count the same lead twice.
  • CRM statuses are maintained late or inconsistently.

An audit runs test cases with a defined outcome and reconciles Google Ads, telephony and the CRM. It does not change the account automatically.

How do you optimise for call quality?

Start with phone availability and routing, and check campaign schedules as well: ads may run outside staffed hours. Only attribute a missed relevant call to bidding or targeting alone once availability, routing and schedule are clarified. Use lead quality after a suitable follow-up period rather than duration alone. Document every adjustment with its hypothesis, period and rollback path.

Test sequence before a change

Start with one test call per source and record the expected number, forwarding and conversion. Then check whether telephony and Google Ads show the same call with a plausible time. Only in the third step do you check the CRM record. That shows you at which boundary the attribution is lost.

Never change the number pool, duration threshold, ad and CRM mapping at the same time. An isolated change with a baseline and a test case is easier to roll back. After the change, repeat the short, long, missed and duplicate test calls. Also document which contact route users see when they decline consent or when scripts are blocked.

Technical tests alone are not enough for the operational decision. Require documented reconciliation of the expected test events, timestamps and IDs, deduplication and a comparison of qualified cohorts. Unchanged observed lead quality alone does not validate measurement; a changed definition can legitimately change the rate. Approve the measurement path when the results are explained and the agreed acceptance criteria are met.

Keep the test evidence with date and number configuration. That way, if a later discrepancy appears, it remains clear which state was actually signed off. Note that the call date and the ad-click conversion date can differ; a same-day aggregate mismatch alone is not a tracking defect.

Frequently asked questions

Does call tracking need a Google forwarding number?

For call reporting, Google assigns a Google forwarding number to the ad, provided call reporting is available in the market and the account. Third-party providers may use other number pools. Check which number the user sees, how it is routed and which source is authoritative. A forwarding number belongs to Google and is not a permanent business number.

What minimum duration is right for a call conversion?

There is no universal value. Analyse conversation durations together with valid leads, MQL, SQL and support cases. Choose a threshold as a technical filter and review it regularly. Duration alone must never be described as qualification of the enquiry.

Can calls be used for Smart Bidding?

A call conversion affects bidding when its goal is actually selected, for example as the account-default goal or within a custom goal. A secondary action is not automatically observation-only: it can also count in a custom goal. That only makes sense if the counting rule, availability and quality are stable. No proposal should optimise blindly towards short calls; a later CRM signal may sit closer to business value, but it is not a universal requirement.

How are calls and forms deduplicated?

Link both paths through a primary lead ID and documented merge rules. A similar phone number or email address can be a clue, but merging needs a controlled rule. Keep both touchpoints, while only one business contact counts in the shared quality metric.

May a conversation be recorded?

Call tracking does not automatically require a recording. Recording and analysing content raises additional questions about information, access and retention, and additional legal questions. Obtain a case-specific Swiss review and use only the data that the defined purpose requires.

What the read-only audit reveals about the measurement chain

The first step shows which call signals exist, where attribution or quality is missing, and which campaigns would be assessed differently with better feedback. You do not get an artificially lengthened list of findings; you get the strongest supported priorities, evidence still needed and the next decision. The audit runs outside the GUI in the backend, does not execute telephony or CRM tests itself and does not upload anything. It stays read-only: it produces proposals and a report, but makes no change in the account.

Decision rule: Clarify number assignment, consent, minimum quality, duplicates, CRM mapping and the feedback deadline before calls become primary conversions.
